Email Setup Guide

Use this page to connect your Web Host Pro email to popular apps like Outlook, Thunderbird, iPhone, and Android. If you are not sure which option to choose, select IMAP for the best experience on multiple devices.

Quick tip: Most setup issues come from using the wrong server name or forgetting to enable authentication for outgoing mail (SMTP).

IMAP vs POP3 (Which one should I use?)

  • IMAP (recommended): Keeps your email synced across phone, desktop, and webmail. Best for most people.
  • POP3: Downloads email to one device. Useful when you want local storage and do not need syncing.

Before you start

Have these ready:

  1. Email address: you@yourdomain.com
  2. Password: the password for that mailbox
  3. Incoming server: mail.yourdomain.com (or yourdomain.com)
  4. Outgoing server (SMTP): mail.yourdomain.com (or yourdomain.com)

Recommended secure settings (use these when available)

Outgoing mail (SMTP) must use authentication. In your email app, enable “My outgoing server requires authentication” and use the same username and password as your mailbox.

Fallback ports (advanced)

Use these only if your app requires them:
25 (SMTP), 587 (SMTP), 465 (SMTP SSL), 110 (POP3), 995 (POP3 SSL), 143 (IMAP), 993 (IMAP SSL)

Step-by-step setup (popular apps)

Microsoft Outlook (IMAP recommended)
  1. Open Outlook, then go to File and select Add Account.
  2. Enter your email address and continue.
  3. If Outlook asks for the type, choose IMAP.
  4. Incoming (IMAP) server: mail.yourdomain.com, Port: 993, Security: SSL/TLS.
  5. Outgoing (SMTP) server: mail.yourdomain.com, Port: 465 or 587, Security: SSL/TLS or STARTTLS.
  6. Turn on SMTP authentication and use your full email address and mailbox password.
  7. Save and send a quick test email to confirm it works.
Mozilla Thunderbird (IMAP or POP3)
  1. Open Thunderbird and choose Add Mail Account.
  2. Enter your name, email address, and password, then continue.
  3. If it does not auto-detect, choose Manual config.
  4. Select IMAP (recommended) or POP3.
  5. Set server to mail.yourdomain.com and use the secure ports from the table above.
  6. For SMTP, enable authentication using your full email address and password.
  7. Finish and send a test email.
Android (Gmail app or Outlook app)
  1. Open your email app, go to Settings, and tap Add account.
  2. Select IMAP.
  3. Username: your full email address. Password: your mailbox password.
  4. IMAP server: mail.yourdomain.com, Port: 993, Security: SSL/TLS.
  5. SMTP server: mail.yourdomain.com, Port: 465 or 587, Security: SSL/TLS or STARTTLS.
  6. Make sure SMTP authentication is enabled.
  7. Save, then send a test email.
iPhone / iPad (Apple Mail)
  1. Go to SettingsMailAccountsAdd Account.
  2. Select OtherAdd Mail Account.
  3. Enter name, email, password, and a description, then continue.
  4. Choose IMAP at the top.
  5. Incoming server: Hostname mail.yourdomain.com, Username = your full email address, Password = mailbox password.
  6. Outgoing server (SMTP): Hostname mail.yourdomain.com, Username = your full email address, Password = mailbox password.
  7. Save, then send a test email.

Troubleshooting (common issues)

  • Cannot send email: SMTP authentication is usually off. Enable “Outgoing server requires authentication.”
  • Password rejected: reset the mailbox password in cPanel and try again.
  • SSL errors: confirm you are using secure ports (993 IMAP, 995 POP3, 465/587 SMTP).
  • Mail app keeps asking for password: delete the account from the app and add it again with IMAP.
